Rental Information

What does the room rental include?

Use of the room for the event stated in the rental agreement, banquet tables and chairs are included in the rental price. We have 5’ round tables that seat 6-8 people, as well as 8’ rectangular tables that seat 6-8 people and 200 chairs.

What are the available hours for room rentals?

Our business hours are Monday-Friday 9am-10pm, Saturdays 9am-9pm and Sundays 8:45am-8:00pm. There is option to extend your rental after hours up until 1am which must be pre-arranged and noted on your rental agreement.

Do I have to pay for the full rental at the time of booking?

No – Full payment is due 5 days after the rental agreement is written with the damage deposit payment required upfront to secure the booking.

How much is the security deposit; what insurance coverage is required?
  • We require a security deposit for possible damages incurred during the rental. This is required upon booking your rental. Any events serving alcohol will pay a $500 deposit, all other events will pay a deposit equal to their rental to the nearest 100th dollar amount.

  • We also require liability insurance for all rentals. We will provide you with an insurance provider we find to be the most affordable. You may also choose to use your home owner’s insurance policy and provide this to us within 10 days of your rental date for any damages that may occur that exceed the $500.00 security deposit provided to us.

  • If alcohol is being served, it is mandatory that PAL (Party and Alcohol Liability) Insurance be in place and a copy of the policy provided to us within 10 days of your rental date.

Does the McKenzie Towne facility have caterers and/or bartenders?

No—you are responsible for hiring your own caterer and/or bartender for your function. If you are serving alcohol during your function, you need to have a valid liquor license and display it at your function as well as provide a copy of this to us within 10 days of your rental date. Liquor licenses can be purchased on the AGLC website or at most liquor stores.

Does the McKenzie Towne facility have dishes and/or linens?

No—we do not have any dishes, tablecloths, napkins, chair covers, etc., available for rent at the Hall. Your caterer can help you with this or any event rental company.

What are the benefits to the residents of McKenzie Towne for paying the Council fees?

Residents benefit by having certain amenities and assets in their community. All of the amenities in McKenzie Towne are unique in nature as the developer put them into the community when it was built. The City of Calgary does not accept responsibility for their maintenance and would remove them if not for the Council taking care of them. Other benefits include enhanced maintenance of City parks and Boulevards.

The event I’m planning is a birthday party; can I bring in something for the guests to play on or in, like a bouncy house or ball pit?

We require a copy of an insurance policy outlining additional liability insurance coverage for the equipment and any injury which may result from its use for the date of your function. Contact your home insurance provider for more information.

What is the cancellation policy?
  • Written notice is required on all cancellations. You may e-mail your request to facilityco@mtcouncil.com .

  • If a rental is cancelled by the customer more than 3 months prior to the rental date, 25% of the base room rental rate (including taxes) is non-refundable.

  • If a rental is cancelled by the customer between one and three months prior to rental date, 50% of the base room rental rate (including taxes) is non-refundable.

  • If a rental is cancelled by the customer less than one month to the rental date, 100% of the base room rental rate (including taxes) is non-refundable.

Do we require event insurance?

What is Entandem and Socan?

Entandem is a joint venture between SOCAN and RE:SOUND and simplifies the music licensing process for Canadian businesses. The organization administers the following music licenses on behalf of SOCAN, in addition to the licenses it administers on behalf of RE:SOUND. Visit entandemlicensing.com for more information.

Housekeeping Rules
  • No access to downstairs areas, renters are restricted to the room(s) specified on the agreement.

  • Smoking and alcohol are prohibited inside on balconies.

  • Parking overnight is permitted as long as the vehicle is removed between 8:00am and 9:00am the next day. No campervans or overnight accommodations are allowed.

  • Noise bylaw – at 10:00pm all windows and balcony doors must be closed. Volume must be turned down to a respectful level.

  • Our facility is a smoke/E-Cigarettes/Vaping free facility. Smoking/E-Cigarettes/Vaping is permitted outside as long as you are in accordance with the City of Calgary Smoking Bylaw #5792. Littered cigarette butts are subject to a penalty charge.

  • No smoke/fog machines are permitted. No confetti, bubbles, candles, sparkles, glitter, rice or bird seed of any kind is allowed on the property.

  •  No food or drink is allowed in gymnasium, common areas and balconies.

  • Table decorations only.  Do not fasten or tape decorations. ONLY painters’ tape or sticky putty can be used for decorating. Items are not to be hung, draped, or attached to the ceiling, light fixtures or doors. Scotch tape, nails, tacks, and staples are prohibited when decorating. No open flame or candles allowed. Failure to meet the decorating requirements will result in a penalty charge.  It is strictly prohibited to use dance wax or any other material on the floors.
